This position is located in Patient/Nursing Services, Chaplain Service at the VA Medical Center in Atlanta, GA. The Program Support Assistant (PSA) provides the administrative and technical support that enables Chaplain Service to provide pastoral care and spiritual support to patients, families, staff, and occasionally, persons and organizations in the community. he PSA ensures that the Chaplain Service office functions efficiently and effectively by carrying out assigned duties.
What You'll Do
- →Duties include but not limited to: Incumbent serves as an administrative resource for the Chief of Chaplains and Chaplain Service.
- →He/she administratively support the Chaplain/CPE Supervisor, who is responsible for the Clinical Pastoral Education and supervised ministry programs.
- →He/she orients chaplain interns regarding administrative procedures.
- →Incumbent coordinates the preparation of informational schedules that pertain to the operation of Chaplain Service.
- →Revises schedules as necessary and distributes to all appropriate staff on a regular basis.
- →Incumbent independently schedules and maintains the appointment calendar for the Chief of Chaplain Service.
- →He/she coordinates meetings, conferences, and makes travel arrangements as needed; arranges to have special video equipment available as needed, Prepares meeting agenda, takes meeting minutes, compiles meeting minutes, and disseminates to employees.
- →He/she ensures all keys are signed for and maintains a current inventory listing of keys assigned to the service; inventories keys semi-annually.
- →Maintains all supplies and ensures an adequate supply of office supplies are readily available for staff usage such as forms and other materials, paper, ribbons, etc. for computers, printers and fax machine in the section.
- →Handles routine office matters and based on knowledge of the program operation, will refer other inquiries to the appropriate personnel while providing good customer service.
- →The incumbent protects printed electronic files containing sensitive data in accordance with the provisions of the Privacy of 1974 and other applicable laws, federal regulations, VA Statues and policy and VHA policy.
- →Serve as primary timekeeper and post time and attendance daily for Chaplain Service section employees utilizing the VISTA personnel and accounting integration data (PAID) system, and Accustaff.
- →Assists supervisor and staff with paperwork associated with the annual performance evaluation and incentive award and ensuring timely and proper completion.
- →Work Schedule: 7:30am-4:00pm Monday- Friday.
