About the Role

The incumbent manages and/or assists with a variety of administrative support to the Chief of Surgery and Surgical Service at the Martinsburg VA Medical Center. As a team member of a fast-paced specialty service, emphasis is placed not only on administrative duties, but also on providing outstanding customer service to our Veterans, patients, family members and visitors. The incumbent is an integral part of the surgical team and must have excellent communication and interpersonal skills.

What You'll Do

  • Major Duties: Manages procurement requests such as equipment and contractual services.
  • This includes collecting official quotes, validating data, cost and need.
  • Oversight of annual equipment inventory.
  • Implements and monitors of the property management program, collects, analyzes and maintains property information on all equipment for the service.
  • Coordinates annual inventories with staff and ensures timely completion and submission.
  • Monitors and tracks electronic equipment/personnel requests; monitors and tracks through receipt of inventory or completion.
  • Constructs detailed spreadsheet of requests to include status, cost, location, etc.
  • Manages and follows up on Open Encounter and Pending Consult reports, tracking the data to present to Chief of Surgery and at staff meetings.
  • Tracks and collates reasons for non-compliance; presents data to supervisor with corrective suggestions.
  • Manages the preparation of service workload reports and associated financial reports by compiling necessary data, analyzing, tracking, and entering and maintaining databases and/or spreadsheets.
  • Provides oversight of resident timesheets; maintains and analyzes records on residents such as co-signature reports, appropriate level of supervision, encounters, compliance with documentation for billing, medical record reviews complications, death, peer reviews, patient complaints, incident reports, etc.
  • Develops and creates reports utilizing software such as but not limited to Excel, Access, PowerPoint and Word, that are used in presentations to senior management.
  • Manages TMS to ensure staff completes training in a timely manner, and ensures required training is scheduled and completed prior to expiration.
  • Arranges committee and staff meetings, prepares agendas, and drafts minutes.
