About the Role

The Administrative Officer position is in the Nursing Mental Health Department for the Phoenix VA Health Care System (PVAHCS) at the full performance level, reporting directly to the Chief of Nursing Mental Health. The role is responsible for the coordination and monitoring of all the departments administrative programs. The AO applies analytical and evaluative skills; along with, specialized principles and practices of management to advise, collaborate, and carry out assigned responsibilities.

What You'll Do

  • Duties include but are not limited to: Oversees and facilitates the administrative management for Nursing Mental Health.
  • Independently develops, plans, issues, and implements procedures to comply with directives concerning administrative matters, in addition to tracking and supporting clinical directives.
  • Analyzes and evaluates problems, makes recommendations, and devises solutions to systems administration, training management, publication management, and data management within the service.
  • Serves as primary point of contact for office visits with vendors and other VA services.
  • Designs and implements policies, and procedures to manage administrative and personnel related functions.
  • Participates in regular meetings with leadership and other senior level staff to address administrative management issues, resolve problems, and provide recommendations for correcting or improving processes and programs.
  • Responsible for generating reports, aggregating data, and presenting information in committees, meetings, or board presentations.
  • Takes a leadership role in maintaining all current documents necessary to meet the requirements of external reviews for the VA.
  • Establishes internal management control procedures to ensure adequate control in terms of deadlines, progress reports, and directives.
  • Performs quality management activities, which are designed to improve quality of transaction procession, customer service activities or other procedures.
  • Participates in the planning for budgeting needs and financial management for the Nursing Mental Health Department.
  • Reviews financial reports and resolves discrepancies with the appropriate accounting office.
  • Acts in a confidential capacity and exercises discretion in handling and coordinating sensitive information on behalf of the of the Nursing Mental Health Department and other management officials.
  • Serves as the primary digital platform author for the department.
