The primary purpose of this position is to serve as Executive Secretary, performing administrative support as the principal office assistant, and a wide range of administrative and clerical duties in support of the Director of Plans and Programs, the Deputy Director, the Executive Director, and the Mobilization Assistant.
What You'll Do
- →Maintains supervisors' calendars, coordinates meeting arrangements, and schedules meetings and/or conferences including those involving staff from outside the immediate office.
- →Independently notes and follows up on commitments made at meetings and conferences by staff members.
- →Interfaces with United States European Command, United States Africa Command, and Allied Air Command headquarters, and other US and foreign officials, embassy personnel, and contractors as needed to ensure the Senior Leader engagements are timely and effective.
- →Manages official travel for the Director, Deputy Director, Executive Director, and Mobilization Assistant.
- →Independently makes extensive travel arrangements such as scheduling transportation, making lodging, rental vehicle, and other reservations, compiling and estimating anticipated complex international travel expenses, and preparing travel orders and vouchers based on general travel objectives, preferences of the traveler, in accordance with appropriate travel regulations.
- →Receives telephone calls, greets visitors and ascertains the nature of the calls or visits, screening those that can be handled without supervisor's help.
- →Initiates telephone calls for the Director, Deputy Director, Executive Director, and Mobilization Assistant.
- →Reviews and processes incoming and outgoing correspondence, reports, and other materials submitted for the Director's signature.
- →Receives and screens all correspondence, reports, and other materials directed to the A5/8 Director and brings to their attention those elements affecting the Director's area of responsibility, specifically indicating actions or responses required of the Director.
- →Prepares a wide variety of recurring and nonrecurring personal and executive correspondence, reports, and other documents from information obtained from the staff, files, and other sources utilizing various electronic systems, including electronic mail and the MS Office suite of programs.
- →Routinely composes non-technical correspondence, such as office procedures, requests for information concerning A5/8 Directorate programs, and letters of acknowledgment, commendation or notification.
