The incumbent serves as the AMSA Training Administrator and Auditor for VA Community Care (VACC) at the Atlanta VA Health Care System with specific program responsibility in the areas of training course development, modification, deliver, evaluation, and operation of all administration training programs within the service line. Coordinate efforts with each service line, as it pertains to the Scheduling Directive and Community Care Field Guidebook.
What You'll Do
- →Major duties include, but are not limited to: Train new and existing staff on Community Care scheduling processes, including consult management, appointment coordination, and documentation requirements.
- →Provide hands-on instruction for scheduling systems such as VistA, CTM, CPRS, HSRM, EPSI, EPS, RefDoc and any third-party administrator portals (TriWest, Optum).
- →Teach staff how to verify eligibility, review consults, interpret scheduling instructions, and follow required VA Community Care timelines.
- →Develop clear training materials such as scheduling job aids, workflow guides, checklists, and quick-reference sheets.
- →Conduct one-on-one or group-based coaching to reinforce accurate scheduling practices and reduce errors.
- →Monitor staff performance and identify skill gaps related to consult scheduling, administrative processing, or communication with Veterans and community providers.
- →Provide refresher training when policies, scheduling standards, or system updates change.
- →Collaborate with supervisors, program analysts, and SMEs to ensure scheduling training aligns with national guidance and local procedures.
- →Assist new schedulers during onboarding, ensuring they can perform consult linking, appointment creation, referrals handling, and appropriate documentation.
- →Offer real-time support to schedulers needing help with troubleshooting system errors, workflow issues, or complex consult scenarios.
- →Maintain training logs, attendance records, and competency assessments for scheduling staff.
- →Assist with audit readiness by ensuring schedulers are compliant with required scheduling protocols, documentation standards, and timeliness metrics.
- →Communicate updates on scheduling policy changes, technical modifications, or new workflows to staff.
- →Work Schedule: Monday-Friday 8:00am-4:30pm.
