About the Role

The Advanced Medical Support Assistant (MSA) within the Behavioral Health Service (BHS) plays a crucial role in supporting the administrative and clinical operations of the service line. The BHS provides a wide range of professional and administrative services through various clinical programs to provide administrative support to BHS programs, teams, and providers, with an emphasis on scheduling and patient coordination.

What You'll Do

  • Processing Return to Clinic Orders, Clinic Cancellations, and other provider-initiated scheduling activities.
  • Ensuring proper blocking of provider clinics to prevent booking errors and maintaining grid fidelity.
  • Coordinating administrative services for Veterans, family members, caregivers, and the general public to ensure continuity of patient care.
  • Developing and maintaining liaisons with associated programs or providers to facilitate effective service coordination for patients.
  • Participating in weekly huddles and other service meetings to stay informed and contribute to team planning.
  • Conducting daily reviews and follow-up actions for active/pending consults, EWL, e-call list, Return to Clinic Orders, NEAR list, and various communication technologies.
  • Managing all emergency and non-emergency transfers to other VA facilities or private hospitals.
  • Verifying and updating patient demographics and insurance information as needed.
  • Handling appointment requests through the My HealtheVet application and the Veteran Appointment Request (VAR) mobile application, including receiving, understanding, replying, and forwarding messages appropriately.
  • Monitoring call times, hold times, and abandonment rates to ensure efficient call management.
  • Ensuring that health and administrative information is integrated into the Computerized Patient Record System (CPRS) by sending documents for scanning.
  • Verifying scheduled appointments, reminding patients of follow-up appointments, and scheduling return visits.
  • Providing consult/referral/specialty program support as needed.
  • Collaborating with supervisors to carry out responsibilities specific to the Advanced MSA role, such as data analysis, monitoring, and reporting clinic and staff needs, and supporting and training lower-level staff.
