About the Role

The Fleet Manager is responsible for planning, coordinating, and directing the work operations for the fleet vehicles at the Richard L. Roudebush, VAMC facility in Indianapolis, IN. The position is in the Facilities Management Service & functions as on-site expert in fleet management. Incumbent is responsible for instructing individuals in safe operation and maintenance on assigned vehicles, and appropriate procedures to follow in the case of an accident or emergencies.

  • Duties of the position may include but are not limited to the following: Fiscal Management of Fleet: The Fleet Manager is responsible for the full financial oversight of the facility's fleet operations.
  • This includes developing and managing operating budgets, initiating commercial job orders, and processing billing adjustments for internal and external customer agencies.
  • The incumbent monitors vehicle operating costs, analyzes utilization data, and recommends changes to fleet composition to ensure optimal performance and cost-efficiency.
  • They coordinate and validate data submitted by various services, ensuring accuracy in reporting and compliance with Department of Veterans Affairs and General Services Administration standards.
  • The Fleet Manager orders and cancels credit cards, reviews monthly statements for accuracy, and investigates any indications of misuse or fraud.
  • They reconcile charges and participate in random audits conducted by the Fiscal Service.
  • The incumbent regularly reviews budget activity, identifies trends or anomalies such as multiple large repairs, and communicates potential impacts to leadership.
  • They ensure vendor billing complies with tax-exempt procedures and maintain quarterly spending reports to keep supervisors informed of control point activity.
  • The Fleet Manager plans and coordinates the vehicle rotation program by analyzing utilization patterns and scheduling vehicle usage to maximize efficiency and extend vehicle life.
  • Program Administration: The Fleet Manager leads the planning, coordination, and administration of the facility's fleet program.
  • They maintain expert-level knowledge of applicable regulations and policies, including those issued by the Federal Management Regulation, Environmental Protection Agency, General Services Administration, and state licensing authorities.
