About the Role

The Supervisory Advanced Medical Support Assistant performs a variety of technical support duties that facilitate the work of physicians, physician assistants, nurses, and other members of the medical team who provide direct patient care. The Advanced MSA in this assignment is a chief source of information and plays an independent role in coordinating and accomplishing the work of the unit.

  • The Advanced MSA coordinates with the patient care team to review the clinic utilization by using various reports (e.g., Clinic Utilization Statistical Summary), ensure that the clinic setup is closely monitored to effectively support the needs of the clinic, and make any necessary adjustments.
  • MSA ensures that all support provided by MSAs is closely aligned with the immediate clinical needs of both patients and providers, effectively bridging administrative functions and clinical workflow.
  • The Advanced MSA is responsible for setting priorities and deadlines, adjusting the flow and sequencing of the work to meet team and patient needs; he/she works with the team to reinforce the plan of care and self-help solutions and entering appropriate information into the electronic record; monitoring pre-appointment requirements to assure readiness for patient visit/procedure.
  • Responsibilities include oversight of patient intake, transfer, and discharge processes, ensuring these activities are conducted promptly to support patient flow and minimize delays in care.
  • The incumbent ensures MSAs are actively engaged as part of the multidisciplinary clinical team, supporting providers by entering orders, updating patient demographics and appointments in VistA and CPRS/GUI, facilitating timely communication between clinical staff, and ensuring accurate and up-to-date medical record documentation for safe, effective patient management.
  • The incumbent also assures that all outpatient clinic encounters are reviewed on a daily basis for completion and works directly with clinical staff, as needed, to prevent open encounters for more than 24 hours.
  • He/she will review all patient movements on a daily basis to assure that movements are documented correctly.
  • Incumbent must possess working knowledge of clinic processes and services to function in and interact with various clinics throughout the hospital.
  • This position provides medical administrative support to several outpatient clinics and is an integral member of the outpatient clinic team to effectively carry out day-to-day administrative operations of the clinic.
  • The Advanced Medical Support Assistant must demonstrate technical competency in the use of the Vista, Vet Link, Insurance Buffer Capture (ICB) and CPRS systems.
  • The Advanced Medical Support Assistant (AMSA) is responsible for providing specialized and expert administrative patient support while working collaboratively in an interdisciplinary coordinated care delivery model.
  • Work involves specialized administrative judgment and the flexible using a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or care in the community resources.
