About the Role
This position is located in the Support Services Division (SSD) of the RO, where the incumbent provides program, technical and administrative assistance to the SSD Chief and other subordinate management within the division.
What You'll Do
- →Typical duties include, but are not limited to: Assists in establishing, reviewing, and maintaining controls of reports for the division-wide Systematic Analyses of Operations (SAO), internal controls, and reports regarding administrative support functions to ensure timeliness and accuracy.
- →Executes timely and accurate processing of incoming and outgoing mail and materials such as correspondence, reports, memoranda, inquiries, and other forms of written communications, operating a variety of office equipment.
- →Reviews and analyzes the materials mentioned above, determines action necessary, researches and assembles background information, and refers said materials to appropriate section when necessary.
- →Sets up, operates, adjusts, maintains, and monitors the operation of single- or multiple function mail equipment, diagnoses equipment malfunctions, and performs operator maintenance.
- →Edits and composes letters and reports, reviews correspondence for accuracy and completeness, prepares public presentation outlines, and develops standard for form letters and replies to inquiries.
- →Maintains inventory control, receipt, and distribution of supply orders, forms, and order forms, ensures adequate supply and form levels are maintained at all times to support continuous RO operations.
- →Operates office automation equipment for the preparation of correspondence and reports, receiving and transmittal of electronic mail, and applications used within SSD, and provides assistance and guidance regarding the utilization of appropriate systems and personal computers with applicable software adapted for division use.
- →Liaises between Chief Support Services or Supervisory Support Services Specialist and other divisions and staff personnel by providing guidance and assistance on procedures, report requirements, deadlines and related matters to assure compliance with Support Services policies, assisting in providing reference material or data when available.
- →Maintains receipts or other necessary documentation for reconciliation purposes.
- →Reconciles statement and forwards to approving officials within the required timeframes.
- →Receives all SSD visitors and callers.
- →Screens telephone calls for the SSD Chief and forwards only those calls requiring the Chief's attention.
- →Work Schedule: Monday - Friday 8:00 am - 4:30 pm Compressed/Flexible: Available Telework: This position is eligible for situational (ad hoc) telework only.
- →The selectee is required to report to the official duty station each scheduled workday.
