The Program Support Assistant (OA) will act as a liaison between the Chief of Medical Service, Medical Service management staff, Group Practice Manager (GPM) and Business Office Management as it relates to clinical access and clinic utilization. This position will monitor trends in scheduling and will assist with clinic access, capacity, preparation of reports and correspondence for deep dives into SAIL data and access data.
What You'll Do
- →Major Duties: Coordinating with the GPM to tailor program management strategies and techniques to fit the operations, culture and interests of Medical Service management and staff.
- →Running reports to monitor inpatient and outpatient consult workload capture and using the Corporate Data Warehouse (CDW) Outpatient Domain for workload data collection and reporting.
- →Conducting independent reviews; identifying problem areas and making recommendations for improvement to service chief and management.
- →Developing mechanisms for tracking and monitoring a medical center wide data reporting system.
- →Providing program and administrative guidance and support with planning, program management, and organization of clinical and administrative operations under the purview of the Supervisory Health System Specialist and Assistant Chief.
- →Designing and implementing methods and procedures which facilitate program completion of administrative and clinical responsibilities with minimum expenditure of time.
- →Independently compiling and preparing daily, weekly, monthly, and/or quarterly reports, statistical reports, and other computer transmittals for submission to the Supervisory Health System Specialist, and/or the Asst.
- →Chief/Chief of Medical Service.
- →Preparing and reporting significant and adverse events; presenting and discussing findings of independent reviews with management and making sound recommendations for policy and procedural changes when necessary.
- →Consistently communicating and treating customers (Veterans, their representatives, visitors, and all VA staff) in a courteous, tactful and respectful manner.
- →Providing consistent information, both written and telephonic, according to established policies and procedures.
- →Work Schedule: Monday through Friday, 7:30 AM to 4:00PM.
- →Subject to change based on the needs of the facility.
- →Telework: This position may be authorized for telework.
