About the Role

The VASTLHCS is seeking a detail-oriented Program Specialist (Clinic Profiler) to facilitate the overall lifecycle management of clinic profile functions for all service lines within the medical center. The Program Specialist will support Veteran access to care by accurately building and maintaining clinic profiles that are aligned with national and local scheduling standards, conducting clinic utilization reviews, collecting and analyzing data, and providing data-driven recommendations.

What You'll Do

  • Clinic Setup and Maintenance Builds and validates clinic profiles in VA Scheduling systems in accordance with service line requests and national standards.
  • Validates required profile elements (stop codes, appointment lengths, grid structure, patient-friendly names, letter assignments, etc.) for accuracy and compliance before the clinic goes live.
  • Supports clinic modifications, cancellations, remapping, deactivations, and reactivations in accordance with the National Scheduling Directive and local policies.
  • Collaborates with Managerial Cost Accounting (MCA) compliance staff and other technical consultants to confirm the information is accurate.
  • Clinic Profile Audit/Clinic Utilization Review Reviews active clinics and provides detailed analysis of findings to the Clinic Profile Manager on an annual basis.
  • Maintains accurate records of all clinic maintenance requests and actions in compliance with department record-keeping policies.
  • Performs audits using available reports in VistA and PowerBI, submitting findings on a regular basis or as required.
  • Reviews utilization reports to ensure adequate appointment availability, clinic capacity, and optimal slot utliization.
  • Data Collection and Analysis Identifies trends and outliers, providing data-driven recommendations for clinic modifications, deactivations, or restructuring.
  • Collects and analyzes data to resolve issues related to clinic underutilization and overutilization, mirrored grids, and access-to-care deficiencies.
  • Builds recurring reports and dashboards in Power BI and Pyramid Analytics to monitor key clinic performance indicators.
  • Training and Processes Assists in identifying training needs for staff in clinic cancellation, clinic profile requests, clinic setup, maintenance, and utilization.
  • Provides advice and training on proper use of request processes, ensuring adherence to guidelines and offering retraining or guidance as needed.
  • Incorporates Power BI and Pyramid Analytics data into training materials to illustrate how clinic build decisions affect utiization and access.
