About the Role

The Program Assistant is mainly responsible for the Home Based Primary Care program within the Geriatrics Palliative, and Extended Care (GPEC) service line. The incumbent provides program support to the Business Manager who is responsible for eight programs made up of interdisciplinary teams of various clinicians stationed at five of the community-based outpatient clinics in addition to San Francisco. These programs provide outpatient, inpatient and community care as well as trainee programs.

What You'll Do

  • Major duties: Uses office automation systems and various software packages to accomplish work.
  • Assignments include text editing; file creation, maintenance and retrieval; use of message, calendar and suspense systems; and use of other specialized tools in support of specific functions.
  • Knowledge of software programs to manipulate text to accomplish formats, revisions, deletions and additions.
  • The duties and responsibilities include but are not limited to the following: Serves as the primary contact, liaison and administrative support.
  • Coordinates and assists in meetings of various matters associated with program and GPEC leadership as well as facility leadership and/or other appropriate management staff ensuring to translate the request and clearly articulate the relevance and purpose of the request.
  • Coordinates all related activities in conformance with VA policies, regulations, guidelines and current memoranda.
  • Collects, compiles and tracks data and statistical information in support of GPEC program.
  • Assists in the planning, review and reporting of data/statistical results of both service line and program goals and outcomes.
  • Responds to technical questions regarding services such as program policies and procedures support, assists in program compliance, Capital Planning and Development questions for new furniture or interior design requests, onboarding of new staff and trainees with IT, Office of Education, Office of Academic Affiliation, PIV, and Human Resources, and equipment/supply needs.
  • Responds to questions from internal and external customers concerning the program/service line, provides advisory and technical assistance to patients, families and caregivers, outside facilities and agencies, administrative staff and professional staff.
  • Manages administrative functions for the service and program staff.
  • Assists the Medical Director, Program Director, and Business Manager with coordination of program medical equipment and supplies in conformance to current guidelines/policies/procedures.
  • Acts independently as liaison with Acquisition and Material Management Service/SPD-Customer Service personnel in Logistics to ensure supply ordering activities follow their guidelines/established protocols.
  • Other duties as assigned.
