About the Role

The position is located in the Health Administration Service (HAS) at VA Montana Healthcare System (VAMTHCS). The Lead Medical Support Assistant (MSA) serves in various areas within the Health Administration Department using advanced skills and being a subject matter expert in various areas.

What You'll Do

  • Perform duties related to the receipt, intake, and indexing of health and administrative information.
  • Interface with personal computer (PC) applications, as well as numerous Vista/ GUI applications, Consult Tracking Manager(CTM), Integrated Scheduling Solution (ISS), VS GUI (contingency), VistA Appointment Manager (contingency) scheduling packages.
  • Monitors and makes work assignments, provides input on performance, resolves daily workplace issues and maintains efficient workflow.
  • Assuring coverage of all areas of responsibility.
  • Conducting ongoing reviews to ensure quality of work.
  • Ensuring accurate and timely scheduling of appointments.
  • Providing guidance to staff members to include changes in policies and procedures.
  • Distributing and balancing workload.
  • Creating and maintaining employee work schedules.
  • Orienting and providing on-the-job training for new and current employees, ensuring all training requirements are met Organizing the work structure of their assigned areas Acting as liaison between MSA and staff to resolve day-to-day conflicts.
  • Schedules Veteran appointments with using Consult Tracking Manager (CTM), Integrated Scheduling Solution (ISS), VS GUI (contingency), VistA Appointment Manager (contingency) scheduling packages.
  • Use established business rules to schedule appointments for Veterans which include clinic visits from orders or patient requests, consultations, and entries into the Recall Reminder system and New Enrollee Appointment Request (NEAR).
  • Complies with the mandatory training requirements for the outpatient scheduling processes.
  • Ensure all appointments are scheduled timely and the provider and patient's desired dates are met.
