About the Role

The Advanced Medical Support Assistant (AMSA) plays a critical role in providing administrative and technical support for the Community Care (CC) Program. The primary responsibility of this position is to ensure seamless coordination of patient care and appointments, while managing all logistics related to Veteran community care. This includes facilitating communication and coordination between the Birmingham VA Health Care System and non-VA providers.

  • VA Careers - Medical Support Assistant: https://youtube.com/embed/EE9c4XkaELo Total Rewards of a Allied Health Professional FUNCTIONS/SCOPE OF DUTIES: This position provides medical administrative support to Veterans of the BVARCS for Community Care services; schedules Veteran appointments with community providers using HSRM or other software scheduling options.
  • Use established business rules to schedule appointments for Veterans which include non-VA clinic visits and consultations.
  • The employee must comply with the mandatory training requirements for the outpatient scheduling processes and ensure all appointments are scheduled within established time constraints while ensuring the provider and patient's preferences for dates and time are met.
  • The Advanced MSA collaborates, communicates, follows set priorities, and organizes assigned work to meet deadlines, ensuring compliance with established processes, policies and regulations.
  • Employee demonstrates the ability to communicate tactfully and effectively, both orally and in writing, to meet program objectives.
  • The Advanced MSA must demonstrate knowledge of the technical health care process as it relates to access to care; communicate with Community Care providers to ensure they accept VA patients and payments.
  • The Advanced MSA demonstrates the ability to process consults following the Access and Office of Community Care procedures and guidelines and adhering to VHA Directive 1232, the Field Guidebook, Consult Business Rules SOP, Consult Timeliness SOP, and Minimum Scheduling Efforts SOP.
  • At the advanced level, the employee demonstrates the ability to provide training to new staff onboarding in Community Care by utilizing the shadowing method.
  • The Advanced MSA demonstrates the ability to contact Veterans by telephone to validate consult requests and coordinates appointments with community providers based on the Veteran's preference, as appropriate.
  • The Advanced MSA is required to demonstrate the ability to use computers to perform a wide variety of recordkeeping, correspondence, tracking operations, managing veteran's PHI/PII in VHA databases or records.
  • The Advanced MSA must demonstrate knowledge of medical terminology due to the technical nature of language utilized by clinicians; support patient safety standards by following the VA's policy to use two forms of identification-specifically, the patient's name and Social Security Number (SSN) which is designed to ensure that the correct patient is being treated.
  • The employee must verify patient demographic information is accurate and up to date as it is crucial for effective communication and care coordination; frequent validation and updates help in reducing the incidence of returned mail and unsuccessful contact attempts, thereby improving overall patient safety and satisfaction.
