About the Role
This Administrative Officer (AO) functions as a full time assistant to the Geriatrics & Extended Care Service Line Manager (SLM) in the management of all administrative programs/services with which Geriatrics & Extended Care (GEC) service is interrelated in the delivery of health care to our patient population. The position is located at the Manchester VA Health Care Hospital.
What You'll Do
- →Major Duties The incumbent is the operations manager for the GEC Service Line which includes Community Living Center (CLC), Community Nursing Home (CNH), and Hospice and Palliative Care (HPC).
- →The incumbent will also have administrative oversight of administrative medicine which includes Compensation and Pension (C&P) and Employee Occupational Health (EOH).
- →Provides administrative support for GEC Service Line operations, including tracking space, equipment, and other resource needs. - Prepares and compiles recurring and ad-hoc reports, documents, project summaries, and meeting minutes as requested.
- →Assists in reviewing and incorporating new policies, directives, or procedural changes by communicating updates to the appropriate staff.
- →Coordinates logistics for meetings and special events; prepares agendas, notifies team members, tracks actions, and maintains accurate records.
- →Collects, compiles, and tracks clinical and administrative operational data-such as consults, admissions, and program utilization.
- →Maintains and updates master data files for program performance, personnel evaluations, training, and quality indicators.
- →Supports survey, special project, and committee data needs by running standard reports and providing requested documentation.
- →Performs basic analysis of collected data to help identify trends and support process improvement activities under direction of leadership.
- →Monitors clinical staff requirements including unsigned notes, open encounters, and other documentation needs.
- →Assists with administrative coordination for the Geriatrics and Extended Care (GEC) Service Line, ensuring work is completed accurately and on time.
- →Supports budget tracking and monitors supply, equipment, and space requests for the GEC Service Line programs.
- →Prepares purchase requests, gathers quotes, and helps with ordering supplies and equipment according to budget constraints.
- →Assists in maintaining spreadsheets or other records of expenses and resource utilization.
