About the Role
The incumbent serves as the Administrative Officer for the Executive Office and performs a variety of high-level administrative and management functions, while supporting the Executive Leadership Team (ELT) and clerical, administrative, and medical staff.
What You'll Do
- →Major duties and responsibilities include: Serves in an analytical capacity supporting administrative functions within service lines that report to the Executive Leadership Team (ELT); provides complete and accurate technical advice by exercising considerable judgment in applying guidelines and policies to achieve organizational goals.
- →Exercises control over calendars and appointments; establishes priorities and schedules briefings, meetings, conferences, and major inspections up to 12 months in advance.
- →Records, transcribes, and edits minutes of various meetings (e.g., staff meetings, boards, and councils) in accordance with the medical center standard format; prepares the minutes for distribution; highlights action items; sets deadlines; and follows up as required.
- →Receives, processes, tracks, and responds to correspondence and documents transmitted through the Executive Office; ensures proper format, grammar, and staff coordination; and composes official correspondence.
- →Establishes, refines, and monitors Executive Office administrative policies and procedures; conducts regular meetings with Service/Service Lines/departments; plans and directs office procedures; conducts training sessions for clerical, administrative, and medical personnel; and disseminates directives and publications in a timely manner.
- →Acts as a subject-matter expert on HR policies, programs, and procedures supporting the Executive Office.
- →Maintains timecards, initiates personnel and overtime actions, and ensures appropriate personnel actions are completed in a timely manner.
- →Prepares and reviews purchase orders for supplies and non-expendable property, such as equipment necessary to the effective functioning of the Executive Office.
- →Performs other duties as assigned.
- →Work Schedule: Full-time, Monday - Friday, 7:30 a.m. to 4 p.m.
- →Work schedule may change based on agency need.
- →Telework (ad hoc): This position may be authorized for telework.
- →Telework eligibility will be discussed during the interview process.
