The Administrative Officer (AO) operates in a full-time, permanent position in Community Relations and Engagement (CR&E) service line which falls under the Office of the Assistant Director. The incumbent will assist the Chief, CR&E with the direct day-to-day functions to assure that excellent customer service, staff performances, employee development, service coordination, personnel administration, and management work are met and accomplished with the highest degree of quality healthcare.
What You'll Do
- →Duties include but not limited to: Analyzes program operations, problem solve, draw conclusions, recommend appropriate actions.
- →Provides advice on requirements, maintains administrative systems, and administrative paperwork.
- →Provides advice to management and program personnel on budgetary and finance issues.
- →Manages budget formulation and execution for a changing budget of administrative expenses involving different funding sources.
- →Prepares budget package for submission to the budget office and responds to all questions from that office.
- →Reviews financial reports and resolves discrepancies with the appropriate accounting office and assures that all expenditures are properly authorized and documented.
- →Reviews program data, workload reports, staffing requests, to assure that positions of the organization are properly funded, and that authorized grade and staffing levels are maintained.
- →Oversee procurement and contracting for the CR&E Service, which includes preparing procurement requests, evaluating proposals for work, acting as the Contracting Office's Representative (COR) for procurements, and/or maintaining procurement and contracting records.
- →Serves as a purchase agent and maintains a credit card for micro-purchases for the service.
- →Assists the Chief, CR&E in interviewing, selecting staff, orientating, training, and assigning work and/or delegating instructions.
- →Performs other related duties as assigned.
- →Work Schedule: Monday-Friday, 8:00am-4:30pm Virtual: This is not a virtual position.
