About the Role
The incumbent primarily serves as the administrative coordinator for the Director, Diagnostic Imaging Service (DIS). Incumbent coordinates the activities of the administrative office within VA Puget Sound Health Care System and the Department of Radiology at the University of Washington.
What You'll Do
- →Duties include but are not limited to: Provides guidance, access to and assistance with information resources.
- →Schedules meetings as directed and sends notifications of meetings or changes to the appropriate staff members.
- →Composes correspondence for the Director or the department for primarily non-technical material that can be directed to departments, the University of Washington, candidates for positions within the department.
- →Keeps and organizes the calendar of the Director, Diagnostic Imaging and the AO.
- →Schedules appointments and makes commitments for the Director without prior consultation based on the knowledge of goals, directions, duties and commitments of the Director.
- →Ability to compose and collect data for oral and written reports and presentations.
- →Answers all incoming telephone lines promptly and courteously and directs calls and visitors efficiently.
- →Determines the nature of call or meeting with visitors, staff and University personnel to decides the importance of business to be addressed or if the caller/visitor needs to be referred to the AO or Chief Technologist.
- →Receives and controls incoming correspondence, reports and files addressed to the Director, Diagnostic Imaging.
- →Responsible for records management; gathers and maintains information and statistical data for recurring and non-recurring Medical Center and University reports regarding the radiology residency program.
- →Provides resource material and assistance to administrative support staff in Diagnostic Imaging Service concerning issues of manuscript preparation, VA and University of Washington resident program policies and procedures and the development of internal systems for communication and exchange of administrative information.
- →Aware of the UW Radiology policies and issues of concern and their affect on the VA Puget Sound Radiology residency program.
- →Acts as an administrative liaison between the offices of the University of Washington Radiology Department and the VA Puget Sound Diagnostic Imaging Services department.
- →Secures documents, regulations, specific statistical narrative program data or reports from organizational files and databases.
