About the Role

The Program Support Assistant (Resident Coordinator) serves within Surgical Services at the Dayton VA Medical Center and provides comprehensive administrative and program support for residency and trainee activities. The incumbent supports a high-volume academic training environment with over 175 rotating residents, fellows, and medical students annually. Two (2) Page Resume Limit Applies for this Position.

What You'll Do

  • Incumbent coordinates pre-assessment requirements, administrative support during rotations, and assists Attending(s) with Resident Supervision Program.
  • In addition, incumbent is the primary ADPAC (Automated Data Processing Application Coordinator) and TMS (Talent Management System) Administrator for all surgical service medical students and resident physicians.
  • Incumbent is the primary coordinator of audio-visual systems and conference room scheduler for the service.
  • Duties and Responsibilities: Maintains calendar of appointments, meetings, conferences, and deadlines for Service Chief.
  • Coordinates meetings and prepares minutes.
  • Maintains suspense system; tracks due dates and follows up to ensure completion.
  • Communicates effectively with customers, staff, and leadership.
  • Tracks onboarding and administrative requirements for staff/trainees.
  • Maintains tracking systems and files for compliance and documentation.
  • Performs timekeeping using electronic T&A systems for all employees.
  • Work Schedule: Monday - Friday, 7:30am to 4:00pm Telework: Ad-hoc Virtual: This is not a virtual position.
