The VA Greater Los Angeles Healthcare System is seeking a highly organized and motivated Program Support Assistant to provide essential administrative, clerical, and program support to the Caregiver Support Program (CSP). In this role, you will perform a wide range of administrative and operational duties that ensure accurate application processing, efficient workflow, compliance with program requirements, and high-quality service to Veterans, caregivers, and staff.
What You'll Do
- →Duties include but are not limited to: Provide comprehensive clerical, administrative, and business support to the Caregiver Support Program to ensure smooth and efficient daily operations.
- →Manage the intake, receipt, indexing, and secure transmission of health and administrative documents in accordance with VHA privacy and security requirements.
- →Track and monitor application status, wellness visits, program census, and other operational data needed for CSP workflow and performance measures.
- →Collect, organize, and review workload and fiscal reports to ensure accuracy and completeness in support of program reporting requirements.
- →Prepare correspondence, written reports, official memos, meeting minutes, and other program documents using proper VA formatting standards.
- →Maintain calendars, schedule meetings, coordinate administrative activities, and assist with prioritizing tasks across CSP staff and multiple service locations.
- →Provide professional customer service to Veterans, caregivers, VA staff and the public by responding to inquiries, assisting with navigation of CSP processes, and ensuring clear and courteous communication.
- →Support data analysis activities by creating and maintaining internal databases, retrieving data, and generating reports for program evaluation and management decision-making.
- →Serve as Fund Control Point Clerk by processing supply and equipment requests, maintaining inventory records, and supporting procurement and fiscal responsibilities in alignment with VA policy.
- →Perform TMS coordinator duties including account updates, entering training credits, managing employee profiles, assisting staff with TMS functions, and running required training and compliance reports.
- →Be the liaison with VA or non-VA entities to complete administrative tasks that are in support of CSP operations.
- →Responsible for timekeeping functions Coordinate incoming data from a variety of sources.
- →Act as a Personal Identity Verification (PIV) Sponsor for PIV Card applicants.
- →Work Schedule: Monday - Friday, 8:00am - 4:30 pm Telework: Not eligible Virtual: This is not a virtual position.
