The incumbent serves as a Program Specialist to the Office of the Director, HRC. The incumbent works closely with the Director, Deputy Director, and Administrative Officer (AO). As such the incumbent is responsible for providing a broad range of administrative services essential to daily operations of the HRC. The incumbent's efforts serve to support management decisions in the areas of personnel, space, records management, training and administrative support.
What You'll Do
- →Major duties of the position include: Develops executive-level written correspondence, reports, briefing materials, and presentations on behalf of senior leadership, ensuring accuracy, timeliness, grammatical correctness, responsiveness to inquiries, and compliance with HRC and VHA standards.
- →Oversees and maintains the Director's Office records, publications, directives, administrative files, and digital repositories by organizing, updating, and ensuring documentation remains current, complete, and compliant with recordkeeping requirements.
- →Manages SharePoint content, structure, and workflows to support efficient information retrieval and administrative continuity.
- →Receives, analyzes, assigns, tracks, and completes formal taskers on behalf of senior leadership, ensuring suspense deadlines are met, responses are accurate and fully coordinated, and final materials align with applicable policies and procedures.
- →Documents senior-level leadership meeting minutes by capturing discussions, decisions, deliverables, and historical context in a clear and accurate manner to support future reference and organizational continuity.
- →Provides a broad range of administrative services essential to daily HRC operations that support senior management decisions in personnel coordination, space management, records management, training, and administrative control.
- →Provides administrative advisory support to senior leadership and business line leaders by responding to inquiries, addressing procedural questions, resolving administrative issues, clarifying requirements, and ensuring timely follow-up on requested actions.
- →Organizes and tracks work priorities by establishing goals, coordinating with internal stakeholders, monitoring progress, evaluating results, and ensuring tasks remain aligned with organizational priorities and executive requirements.
- →Utilizes databases, spreadsheets, and office automation tools to enter, organize, sort, analyze, and retrieve data and develops reports, charts, and presentation materials that support operational and leadership decision-making.
- →Investigates administrative or records-related issues by analyzing documentation, consulting with subject-matter experts, identifying contributing factors, and recommending corrective actions to improve accuracy, compliance, and operational effectiveness.
- →Work Schedule: Monday-Friday Between the hours of 6:30am and 4:00pm CT Telework: This position may be authorized for telework.
