The Medical Administrative Assistant (GS-7) serves as a key member of the Mental Health Service Line (Telemental Health Program), scheduling and coordinating complex appointments, consults, and clinic operations to ensure the timely, efficient and Veteran-centered access and delivery of virtual mental health services to Veterans.
What You'll Do
- →Duties include but are not limited to: Schedule, cancel, reschedule, and coordinate in-person and virtual mental health appointments using VA scheduling systems (Vista/CPRS/ISS/CTM) and established scheduling directives.
- →Manage active and pending consults, recalls/return-to-clinic requests, electronic waiting lists, open encounters, VeText communications, and other workload-management tools to support timely access to care.
- →Communicate with Veterans, family members, providers, and interdisciplinary team members to coordinate care, resolve scheduling issues, and provide information consistent with privacy and customer service standards.
- →Verify and update patient demographic, eligibility, insurance, and contact information; collect and process insurance information in support of revenue capture activities.
- →Support clinic access contingency plans by adjusting appointment dates, times, locations, or provider assignments when staffing or coverage changes occur.
- →Receive and route telephone calls, secure messages, records, and other communications; ensure appropriate documentation and scanning into the electronic health record.
- →Provide guidance and training to other Medical Support Assistants on scheduling procedures, insurance capture processes, scanning workflows, and related administrative functions, as assigned.
- →Participate in team huddles, staff meetings and quality improvement activities; identify operational issues and recommend solutions to improve clinic efficiency and patient access.
- →Maintain confidentiality of sensitive patient information and comply with VA, VHA, HIPAA, FOIA, information security, safety, and other applicable policies and regulations.

Requirements
