The Primary Purpose of the Position is: To provide a variety of administrative, clerical, and technical support to the Chief, Audiology and Speech Pathology Service, Audiologists, Speech Pathologists, and Audiology Health Technicians. This position serves as subject matter expert for administrative tasks and will provide guidance and direction to other clerical and program support positions in the service.
What You'll Do
- →Duties are but not limited to: Lead Duties: Provides leadership for multiple Program Support Assistants within the Audiology and Speech Pathology Service (ASPS), coordinating clerical, clinical, and administrative operations to support optimal service functioning.
- →Ensures compliance with performance measures, reviews scheduling data for accuracy, and resolves discrepancies.
- →Compiles and maintains required data for reports, supports quality improvement activities, and promotes a safe environment.
- →Serves as liaison with referral sources and interdisciplinary teams, advises staff on procedures and guidelines, prepares reports and recommendations for leadership, and ensures seamless workflow across clinical and administrative areas.
- →Patient Care Liaison: Coordinates clinical and administrative activities for ASPS across four campuses to enhance patient care.
- →Collaborates with internal and external clinics, evaluates complex problems, gathers information, and recommends actions based on established guidelines.
- →Ensures decisions align with quality patient care standards and supports communication between staff, patients, families, and referral sources.
- →Program Support: Collects, tracks, and compiles data and statistical information to support ASPS program management.
- →Manages incoming and outgoing telephone communication, resolves or triages issues, distributes information, and monitors schedules and workload to meet performance requirements.
- →Oversees the hearing aid issuance program, tracks devices through ROES, and supports clinical functions involving hearing, speech, swallowing, and specialized patient populations.
- →Prepares, composes, reviews, and formats official correspondence, maintains suspense and filing systems, manages retention and disposal of records, and completes special data-driven projects for internal and external stakeholders.
- →Time and Attendance: Serves as alternate timekeeper by maintaining accurate time and attendance records, verifying leave documentation, identifying and correcting discrepancies, and preparing staffing and manpower usage reports.
- →Procurement Support: Acts as liaison to Acquisition and Material Management to secure equipment, services, and supplies for multiple campuses.
- →Maintains purchasing records, processes supply requests, tracks inventory, verifies receipt of goods, and monitors control-point balances.
