About the Position: This position supports the Front Office of the Director and the Chief of Staff. Located in a high profile, fast paced environment. Develop and sustain a level of professionalism among staff and clientele. Must have excellent basic Office Professional Suite computer skills. Need exceptional interpersonal skills and professional demeanor. Typical work hours are from 0730 - 1600, Monday thru Friday. This position is inclement weather essential.
What You'll Do
- →Serve as Administrative Support Specialist for the Front Office of the Director and Chief of Staff.
- →Provide comprehensive, executive-level administrative support to the Chief of Staff and the Director's Front Office, ensuring seamless day-to-day operational tempo.
- →Manage dynamic executive calendars and coordinate complex scheduling.
- →Utilize advanced office automation software to compile critical analytical reports and meticulously prepare, review, and process executive correspondence and organizational awards.
- →Act as the central control point for all incoming taskers, strategic projects, and executive correspondence.
- →Proactively track, monitor, and enforce suspense criteria across staff directorates to guarantee the timely and accurate completion of mission-essential deliverables.
- →Serve as the primary protocol liaison, professionally receiving and managing high-ranking military officials, civilian dignitaries, Congressional delegates, and media representatives during in-person, telephonic, and virtual engagements.
- →Orchestrate high-level meetings and special events.
- →Maintain continuous situational awareness for the Director regarding upcoming engagements and ensure cohesive communication of status updates across the executive staff.
- →Direct and coordinate complex executive travel logistics.
- →Manage itineraries and prepare, process, and reconcile travel orders utilizing the Defense Travel System (DTS) in accordance with established regulations.
- →Facilitate administrative readiness by preparing, tracking, and monitoring administrative actions related to the civilian personnel hiring lifecycle.
- →Analyze organizational workflows and actively advise executive leadership on strategic enhancements to office policies, standard operating procedures (SOPs), and correspondence formatting to maximize administrative efficiency.
