This position serves as senior coordinator to the Chief. This involves providing various administrative services; carrying out a variety of analysis functions related to CSS, monitoring and analysis of processes, assisting scheduling, handling daily customer inquiries and complaints, drafting correspondence, making rounds in clinical areas for administrative purposes, overseeing office personnel, troubleshooting staffing fluctuations, and supporting/providing back up for the Service's ADPAC.
What You'll Do
- →Duties include but not limited to: Program Management The incumbent is a primary resource for collecting, compiling, and/or tracking projects related to Office of Community Care (OCC), such as: consults, authorizations, payments, scheduling, VSSC, HealthNet contract, and the preparation and resolution of in-depth research related to problems occurring within the OCC Service.
- →Identifies areas of concern independently, because of thorough analyses, and presents these to management with recommendations for resolution.
- →The decisions regarding data sources, methodologies of data collection, techniques of analysis, display of findings, conclusions, and recommendations are generally left to the discretion of the incumbent.
- →Provides for the overall administrative management of the organization.
- →This includes: interpreting administrative policies; developing and implementing local policies; defining administrative requirements; and/or providing advice to the OCC Service Chief on related issues.
- →Applies new policies; provides advice on requirements; maintains administrative systems; and prepares administrative paperwork.
- →Generates required reports for the Chief of Staff and other offices, which include: fiscal reports, accountability reports, staffing reports, reports to accrediting bodies, etc.
- →Facilitates/coordinates the administration of reporting and evaluation requirements associated with the applicable aspects of the external review and accreditation process.
- →Fully participates in performing short and long-range resource planning and management and follows established procedures to meet applicable accreditation standards.
- →Recommends organizational changes and realignments to workforce to maximize productivity.
- →Assists with the development of improved automated and computerized managerial reports and reporting techniques.
- →This can involve single or multiple variables and may be related to areas of physician productivity, historical performance reviews, improving workflow procedures, etc.
- →Personnel Administration Collaborates with Human Resources Management Service concerning such matters Maintains personnel records for the Service to ensure that all essential elements are included in the incumbent's service folder.
- →Maintains administrative responsibility for personnel management functions, which include: recruitment/staffing, initiating classification, incumbent/labor relations, the performance appraisal process, incumbent awards, pay/leave administration, training, travel, EEO programs, Worker's Compensation, and performing the necessary research.
